Bill Johnson, Founder, President, and CEO A globalized business environment and a steady escalation of regulations have made legal services an inevitable requirement for enterprises today. However, one of the most challenging aspects of managing complex litigation is the increasing cost and the complex processes associated with it. Enterprises may find themselves struggling to keep up with the influx of data, which can distort effective business decision making. As a result, when it comes to managing litigation processes, enterprises often fail to locate relevant documents, which will snowball into a concern. In such a scenario, what enterprises need is a reliable partner that can help them quickly gain control over their data and navigate their litigation procedures within the dictated budget.

Enter TCDI, a North Carolina-based provider of legal technology.

For over 30 years, TCDI has been a pioneer in the technology industry, evolving and expanding their services offerings to include eDiscovery and Litigation Management, Managed Document Review, Computer Forensics, and Cybersecurity. TCDI has embraced Lean Six Sigma and Continuous Process Improvement (CPI) methodologies to fine-tune their processes and create a software development environment that is as efficient as it can be. TCDI has the ability to develop highly customizable software solutions that fit within a law firm and corporate legal departments’ needs and budgets. Over the last three decades, their clients have become true partners, guiding them in the development of their tools, technologies, and processes. “Unlike other service providers that use the third-party software, we use our software to deliver eDiscovery, case management, and document review services to our clients,” said Founder, President, and CEO of TCDI, Bill Johnson. Through their ClarVergence Suite (CV Suite), TCDI has created three applications that form the core of their eDiscovery technology offerings. CVLynxTM, is designed for large-scale, complex litigation, CVFox®, is designed for the small to mid-tier corporations and law firms and CVOnyxTM is used on the backend to perform culling, processing and data preparation for loading to CVLynx or CVFox. These platforms were created to scale up and down to deliver result-driven and sought-after features and capabilities to the client and to support all litigation needs.

An Integrated Approach

Designed for a comprehensive review, analysis, and production, TCDI’s CV Suite allows case teams to complete tasks associated with discovery obligations quickly and effectively. CVLynx, the primary application within the CV Suite, is custom-built for a large-scale, complex litigation. What differentiates CVLynx from other products? CVLynx is a product of TCDI development, which allows them to customize their flagship product to meet client needs. Through continuous process improvement, TCDI using CVLynx continues to develop strategies to help clients decrease risk during cases, control and predict budgets, and ultimately put the focus back on their core business. The ability to import from and export to any other industry review platform using common import and export formats makes CVLynx a highly sought-after solution in the litigation space. CVLynx is a powerful, intuitive, and scalable eDiscovery platform designed to enhance document review productivity and efficiency for a complex litigation. A unique feature of CVLynx is the ability to view small thumbnails of user documents in the database, which is helpful for quickly pinpointing similar documents.

What makes us unique is our deep integration between our service and software development side

Additionally, users can show clusters of documents, and drag and drop them, depending on what is most helpful to understanding and organizing documents.

CVFox, the second application, is an out-of-the-box platform based on CVLynx designed to meet the litigation needs of small to mid-tier corporations and law firms. It combines data processing, early case assessment document review, and productions into a single simplified SaaS solution. It is scalable and adaptable, making it sensitive to ever-changing litigation and project needs, allowing users to add new projects or build databases with the click of the button. Due to the minimal setup and training needed, users can start processing and reviewing data quickly. Once users upload their data for processing, via a drag-and-drop interface, CVFox offers a helpful table of folder icons that represent individual custodians. Users can immediately jump into a custodian specific document collection, or they can search across all custodians. Users can build simple to complex workflows that seamlessly transition documents through each stage of the review process. Easily filter by project, date, or user and examine reviewer performance.

CVOnyx is used by TCDI’s processing technicians to perform culling and processing to prepare data and files for loading to the review and analysis database. CVOnyx provides the advantages of fast and affordable file processing with exports in load file formats suitable for any major review and production platform.

Additionally, TCDI also performs custom development to incorporate new features and ideas into its software suite, rather than waiting for new software release cycles like third-party software. This is a huge advantage for clients that require software that is more versatile and tailored to their needs.

The custom development process follows the agile software development methodology, which helps eliminate the complexities associated with traditional development methods. This allows the development team at TCDI to come up with value-bound software solutions within a two-week cycle rather than spending months in software development.

“What makes us unique is the deep integration between our service and software development side,” says Johnson. TCDI ensures that its development team works hand-in-hand with the service team during the entire process of architecting software for its clients. This environment also allows TCDI to enhance its service delivery. The software developed using this approach offers teams more control over the platform, allowing them to seamlessly tailor services. “We always ensure that our solutions provide industry-best quality by adhering to all standard QC and software release methodologies,” adds Johnson.

With its proprietary and established legal technologies— delivered via a software-as-a-service (SaaS) platform or as a part of its fully managed document review service—TCDI reduces the volume of documents and provides metrics to lower its client’s litigation costs dramatically.

Emphasizing Customer-Centricity

While engaging with clients, TCDI adopts a method-driven, personalized approach and incorporates Lean Six Sigma methodology into the entire collaboration process.
This allows the company to understand clients’ organizational structure, data volume, workflows, and major issues, before deploying a software package into their ecosystem. TCDI then uses its tailor-made software to build efficiency into the client’s operations. Using metrics, TCDI measures the throughput and makes sure that their solutions are improving their client’s business process and not hindering it. Also, unlike many other providers who upturn an enterprise’s processes during implementation, TCDI implements its solutions into the client’s ecosystem without altering their business practices.

TCDI places emphasis on involving clients in all phases, from analyzing their requirements to discussing software development ideas through testing the software before production. Furthermore, in terms of delivering services, TCDI does not follow a cookie-cutter approach. They figure out the best way to resolve their clients’ challenges, incorporates them into a tailored plan, and delivers services. For example, for an enterprise with specific requirements, TCDI, instead of imposing a pre-configured plan, modifies the existing plan in such a way that fulfills the clients’ needs seamlessly.

Endless Scope of Advancements

Catering to several corporate clients for more than 20 years, TCDI makes sure not to let their ecosystem stagnate in terms of technology. Therefore, the firm builds a base of software that can evolve as the technology evolves. “Our goal is to keep our clients on the leading edge, not just the bleeding edge of technology. We do not want to lead them down a path by trying new software technologies that aren’t proven,” says Johnson. TCDI tests new ideas analyze the technology stack—hardware, infrastructure, virtual environments, and storage medium—and makes sure that they are reliable, provable, and lead to improvements, before incorporating them into the solution stack.

"Our goal is to keep our clients not on the bleeding edge of technology, but the leading edge. We don’t want to lead them down a path by trying new software technologies that aren’t proven"

TCDI refrains from developing an end-all solution, and instead, focuses on implementing the best technology that can serve clients’ needs in specific areas—litigation, eDiscovery, and review—in an incremental manner to align with cost-savings efforts. With this approach, the company enhances productivity by applying technologies in different parts of the clients’ workflow and helps them improve human processes.

The company seeks to build long-term relationships with clients as opposed to being very transactional on a case by case basis. “We work with several Fortune 100 and Fortune 500 companies”, says Johnson. This success is attributed to the firm’s joint teamwork, trust, and the quality of its project management team. “We are recognized as their ‘year-over-year provider,’ allowing us to work with them and bring new technologies to meet their ever-evolving requirements,” Johnson adds.

Molding the Next-Gen Legal Landscape

While its industry-leading software suite backs TCDI’s success, the company is also proficient in using a third-party software to tackle any crucial situations. “We are there to solve our client’s problems, making the litigation landscape less threatening and less cumbersome,” adds Johnson.

Having taken stock of present conditions in the legal landscape, TCDI plans on enhancing its capabilities in document review by designing more responsive software solutions. The company is also taking a new approach to making document review more technology-focused. “We are looking at providing an integrated platform that combines eDiscovery with case management and invoice analytics to provide law departments an all-inclusive solution for managing data pertaining to litigation,” concludes Johnson.
